Booking, Payment & Cancellation Policy

Tophic Properties Ltd ("the Company") curates and facilitates bookings for handpicked villas, holiday homes, and lifestyle destinations on behalf of property owners and hospitality partners ("Service Providers").
All bookings, quotations, and arrangements are made in good faith based on information provided by these third parties. The Company acts as an intermediary and does not own or operate the properties unless expressly stated.
Tophic Properties Ltd ("the Company") curates and facilitates bookings for handpicked villas, holiday homes, and lifestyle destinations on behalf of property owners and hospitality partners ("Service Providers").
All bookings, quotations, and arrangements are made in good faith based on information provided by these third parties. The Company acts as an intermediary and does not own or operate the properties unless expressly stated.
2. Booking Confirmation
A booking is considered confirmed only upon receipt of written confirmation and payment of the required deposit.
• Quotations are valid for 48 hours from the time of issue.
• Once confirmed, a Booking Reference Number will be issued to the client via email.
• Property availability and pricing are subject to change until full payment or deposit is received.

3. Payments and Deposits
All payments must be made directly to Tophic Properties Ltd through the designated company account or official payment gateway.
• A minimum deposit of 50% of the total amount is required to secure a booking.
• The balance must be settled 14 days before check-in, unless otherwise stated in the booking confirmation.
• For select villas and peak-season bookings, the balance may be required up to 4 weeks (28 days) before arrival, as specified in the individual villa's payment terms.
• For last-minute bookings (within 7 days of arrival), full payment is required at the time of reservation.
• All payments are subject to bank and currency conversion fees, which are borne by the client.

• Less than 7 days or no-show: No refund.
Refunds are processed within 21 working days after written cancellation confirmation.
Note: Refunds are subject to deduction of any non-refundable fees charged by the property owner, partner, or bank.

Clients are expected to:
• Maintain the property in good condition and respect all house rules provided upon check-in.
• Report any damages immediately to the property manager or Tophic representative.
• Accept full responsibility for any loss or damage caused during their stay.
Tophic Properties Ltd reserves the right to charge for damages or unpaid balances directly to the client's registered payment method.
Clients are expected to:

In cases of natural disasters, government restrictions, pandemics, strikes, or any event beyond the Company's reasonable control, Tophic Properties Ltd reserves the right to modify or cancel a booking without liability.
In such cases, clients will receive a credit note or partial refund (where applicable) in accordance with supplier policies.

Any disputes arising from bookings or payments shall first be resolved through amicable negotiation. Failing this, the matter shall be referred to arbitration under the laws of the Republic of Kenya, with proceedings held in Nairobi County.
